Bookkeeper/Administrative Assistant

Job Description
Type of Job: 
Full-Time
Main Areas of Responsibility: 

Utilizes QuickBooks accounting system and spreadsheets
Maintain accurate accounting records and documents
Enters cash receipts into the general ledger
Assists with month end closing process
Maintains general ledger chart of accounts
Track payments of AIR invoices
Prepares deposit.
Maintains petty cash account.
Reconciles accounts
Assists with annual audit
Processes accounts payable
Provides excellent customer service
Assists CFO
Responsible for maintaining Grant programs

Additional Areas of Responsibility: 

Manages the Executive Director's calendar.
Facilitates communications between the Foundation Board, Executive Director, and Foundation staff
Prepares and distributes agendas, notices, minutes, and resolutions for Board, committee, and corporate meetings
Transcribes dictation and composes and prepares meeting conference reports
Maintains accurate, official, and archival records of all Board activities and actions
Reserves venues for board meetings
Maintains high degree of confidentiality

Other Information/Requirements: 

• High School diploma
• 5-7 years of Bookkeeping and Administrative knowledge
• Advanced Microsoft Office experience is a must
• Receivables and payables experience
• General knowledge of office procedures
• Able to prioritize and plan work activities, must be accurate and thorough
• Adaptability and dependently are a must
• Requires the ability to work weekends, evenings, and holidays
